SGS50 Committee Meeting 3rd May 2006 A committee meeting was held on Wednesday 3rd May 2006 in the Library, SGS, at 8.30pm. Apologies were received from Valerie Lindsay and Norman King. Friday 30th (Ball): Action 1: Valerie and Avril are to choose a menu and visit Jackson’s to finalise arrangements. Heather has e-mailed all contacts with known e-mail addresses and has sent letters to all others. Jackson’s Hotel is offering rooms 10 Euros less than the normal rate for those attending the Ball. Saturday 1st July: Stephen is organising pupils to help. Valerie is to borrow an ice cream machine. Stephen is to ask Valerie to come into school to promote the event with the school children. Action 2: Valerie to see if she can borrow an ice cream machine. Action 3: Stephen to ask Valerie about talks. Action 4: Heather is to ask Andy Blair to bring his barbecue. Food is to be organised by the Kenya Group. The funding application has been submitted. Ticket sales: Avril reported that to date 233 tickets have been sold and £3050 has been deposited in the bank. Advertising: Photos have been taken of the first and present head boys and girls. Stephen has written a press release and will send this out to newspapers. Action 5: Stephen to contact newspapers with the photos and the press release. Action 6: Heather to contact Valerie to find out if she has spoken to Jackson’s about publicity for the event. Action 7: Philip is to contact Ricky Craig about taking photographs at the Ball and over the weekend. Action 8: Stephen is to contact Alan McWhirter of the PSNI about the Saturday event. Stephen contacted SDC last week about possible funding. Car Parking: Action 9: Heather to check with Valerie if Smyth’s field will be available for parking. Prefects will be asked to direct cars. Action 10: Mr. Lacey is to ask 6th formers for help with parking. Prizes for the raffle were discussed. We currently have 2 Flybe tickets, a voucher for Hastings Hotel spa and the Europa spa, a DVD player and a juicer. Action 11: Heather is to ask Linton and Robinsons and Shiels for prizes and Doreen is to ask Denise Adams of the Well Being Clinic. Action 12: Valerie is to ask Jackson’s if they would be willing to donate a prize. Action 13: Stephen is to send letters of invitation to guests. Philip reported that Hazel has arrangements for the golf tournament well underway from 12 o’clock onwards at Newtownstewart Golf Club on the Friday. A guestbook was considered for Friday evening. It was decided to provide printed sheets on each table for guests to fill in if they wish. Action 14: Jean is to design and print sheets for the tables. Action 15: Mr Lacey is to welcome folk to the Ball and is to provide the large School crest for the front of the dining room. Philip will be setting up a 1950s scene with cars etc. on the Saturady if the weather permits. Philip reported that he had met people who still had not heard of the event and stressed the importance of advertising over the next few weeks. He suggested advertising on the Hugo Duncan show and any other radio stations. Action 16: Austin is to contact Hugo and other radio stations and drum up as much publicity as possible. Church service: Mr Lacey has asked Mrs McCaughey about the school choir. It was suggested that the Doherty family be asked to perform before the service begins. The next meeting was arranged for 14th June 2006 at 7.30pm.
