SGS50 Committee Meeting

23rd November 2005 @ 8.15pm

 

A meeting of the SGS50 organising committee was held on Wednesday 23rd November 2005 at 8.15pm. Those present were Stephen Birkett, Heather Sayers, Avril Pollock, Norman King, Valerie Lindsay, Vicky Stirling and Doreen McGerrigle. Apologies were received from Lewis Lacey, Jean and Austin Hunter, and Philip and Hazel Faithful.

 

Stephen apologised for omitting to put the minutes of the last committee meeting on the web. Heather is to send these to Stephen again so that they can be published.

 

Action 1: Heather Sayers to send the minutes of 15th June 2005 to Stephen.

 

The main items on the agenda were discussing further arrangements and advertising of the SGS50 weekend in June 2006 and the printing and sale of tickets for the Summer Ball.

 

It was decided that, after Christmas, we would contact the press (newspapers and radio) to start advertising the events.

 

Limavady Print produced the Parents Associations’ calendar and is to be contacted again for a price (and proof) for 700 numbered tickets for the Summer Ball. Arlene Darragh was the main contact for the calendars and Valerie Lindsay is to ask her to contact the company for us again.

 

Action 2: Valerie Lindsay to contact Arlene Darragh re ticket printing.

 

Members of the committee will be asked to sell tickets and we will also e-mail the contacts whose addresses we have in the New Year. The ball will be advertised on the SGS50 website with a contact e-mail address.

 

A template for the tickets was agreed and sent with Valerie. Tickets are £25 each. Norman suggested that we have singer or other form of live music before or during the meal, perhaps with some present pupils. This was discussed but no decisions were made.

 

Ruth Hopkins is to organise the music (choir) for the church service on the Sunday and Alfie Forbes has indicated that he would be happy to play the organ. Heather Sayers is to confirm the date and time with Alfie.

 

Action 3: Heather Sayers is to confirm that Alfie Forbes is willing to play the organ at the service.

 

It was decided to have two raffles for the event, both of which would be drawn at the Summer Ball. The first raffle would have tickets printed and for sale from the beginning of the year and would offer larger prizes. The second raffle would be carried out at the ball with smaller prizes (perhaps the prints of the school). Heather Sayers is to contact Austin Hunter re prizes for the first raffle, and Norman King is to contact hoteliers he knows in Belfast. This is to be considered at the next meeting.
